1. Position Purpose
The Compliance Manager / Compliance Officer is responsible for ensuring that the company’s production facilities, employees, suppliers and subcontractors understand and comply with all applicable customer, company, social, ethical, quality and operational compliance requirements.
The position works directly under the Executive Director Vietnam and acts as an independent compliance function, providing an objective view of the actual situation in our factories and production partners.
The Compliance Officer must develop a strong understanding of our customers’ compliance requirements and continuously monitor whether these requirements are properly implemented in daily operations.
This is an active field position, not only an office-based documentation role. The Compliance Officer will regularly visit production facilities and conduct unannounced compliance inspections when required.
2. Key Responsibilities
A. Customer Compliance Requirements
- Develop and maintain a detailed understanding of the compliance requirements of all company customers.
- Study and understand customer compliance manuals, guidance books, codes of conduct, policies and procedures.
- Keep up to date with changes to customer requirements and communicate relevant changes internally.
- Translate customer requirements into practical requirements for factories, departments and subcontractors.
- Ensure that relevant management and employees understand the requirements applicable to their area.
- Maintain a central overview of customer compliance requirements and required actions.
B. Factory Compliance Inspections
- Conduct regular compliance inspections at Grandmex, TraVinh, MyTho and other production facilities or subcontractors.
- Carry out unannounced inspections from time to time to verify the actual situation without prior preparation by the factory.
- Check whether company policies and customer requirements are being followed in practice.
- Verify documentation, records and procedures against the actual situation on the production floor.
- Identify gaps, violations, risks and potential customer compliance issues.
- Take photographic/documentary evidence where appropriate.
- Prepare clear inspection reports and communicate findings directly to the Executive Director Vietnam.
C. Corrective Actions / CAPA
- Identify compliance deviations and non-conformities.
- Request and follow up corrective and preventive actions (CAPA).
- Establish clear deadlines for corrective actions.
- Monitor whether corrective actions have actually been implemented and are effective.
- Escalate overdue, repeated or serious compliance violations directly to the Executive Director Vietnam.
- Maintain a clear overview of open and closed compliance issues.
D. Subcontractor Compliance
- Monitor compliance performance of subcontractors and external production partners.
- Conduct inspections when required.
- Ensure subcontractors understand and follow applicable customer and company requirements.
- Identify risks before they become customer audit findings or business risks.
- Support management in evaluating the compliance performance of subcontractors.
E. Internal Compliance Culture
- Support management in building a strong compliance culture throughout the Vietnam organization.
- Train and coach relevant employees on compliance requirements.
- Promote the principle that compliance must be implemented every day, not only before a customer audit.
- Challenge employees or managers when requirements are not being followed.
- Report facts objectively and independently, regardless of the department or management level involved.
3. Independence and Reporting
The Compliance Officer works directly under the Executive Director Vietnam.
The position must maintain independence from factory management and production targets.
The Compliance Officer is expected to report the actual situation, including problems involving management, production, QA, HR, subcontractors or other departments.
There must be no filtering, modification or hiding of compliance findings in order to protect a department or individual.
Serious compliance violations, deliberate falsification of records, repeated non-compliance or potential customer-critical issues must be reported immediately to the Executive Director Vietnam.
4. Candidate Requirements
Required Experience
- Previous professional experience in compliance, social compliance, ethical compliance, quality compliance, factory auditing or a related field.
- Experience in garment/textile manufacturing is preferred but not mandatory.
- Experience with compliance auditing or factory inspections is highly preferred.
- The candidate does not need previous experience with our specific customers.
- The most important requirement is the ability and willingness to learn our customers’ compliance systems and requirements quickly.
Knowledge & Learning Ability
The successful candidate must be:
- Highly interested in compliance and auditing.
- Eager to learn and continuously develop knowledge.
- Comfortable reading and understanding detailed compliance manuals, guidance books, policies and customer requirements.
- Able to study complex requirements independently and convert them into practical factory controls.
- Able to recognize risks and ask the right questions.
- Detail-oriented and systematic.
- Strong enough to challenge management when compliance requirements are not being followed.
5. Language Requirements
Vietnamese: Must be fluent.
English: Good professional English, both written and spoken, is required.
The candidate must be comfortable reading compliance documentation in English and communicating with international customers or auditors when required.

7. Working Style
The Compliance Officer should not work only from the office.
The position will include regular visits to production facilities and subcontractors in Vietnam. Inspections may be planned or unannounced, depending on the situation and instructions from the Executive Director Vietnam.
The Compliance Officer must be able to walk into a factory, independently investigate a situation, speak with workers and management, review documents, compare procedures with actual practice and report the findings objectively.
8. Key Performance Indicators (KPIs)
Performance will be measured based on:
- Compliance inspection schedule and completion.
- Quality and accuracy of compliance reports.
- Identification of compliance risks before customer audits.
- Timely follow-up of corrective actions.
- Reduction of repeated compliance violations.
- Accuracy of customer compliance requirement tracking.
- Effectiveness of factory and subcontractor compliance monitoring.
- Quality of internal compliance training and communication.
- Ability to maintain an up-to-date knowledge of customer requirements.
- Management confidence in the independence and reliability of compliance reporting.
9. Authority
The Compliance Manager / Officer is authorized to:
- Conduct compliance inspections at company facilities and subcontractors.
- Request relevant documents and records.
- Interview employees and responsible managers regarding compliance matters.
- Take evidence necessary for compliance reporting.
- Request clarification from responsible departments.
- Follow up corrective actions.
- Escalate serious or repeated violations directly to the Executive Director Vietnam.
The position does not replace factory management, QA or HR. Its role is to independently monitor, verify, challenge and report compliance.
10. Education
- Bachelor’s degree in Business Administration, Compliance, Law, International Business, Textile/Garment, Quality Management or a related field is preferred.
- Equivalent professional experience in compliance or factory auditing will also be considered.
11. Ideal Candidate
The ideal candidate does not necessarily know our customers today.
Instead, we are looking for someone who already understands how compliance works, has experience investigating and auditing organizations, and has the intelligence, discipline and motivation to learn our customers’ specific requirements in detail.
The successful candidate should be the type of person who will read the compliance manual, understand the requirement, visit the factory and verify whether it is actually being followed.
The objective is simple: know the requirements, verify the reality, identify the gaps and make sure they are corrected.
